TechAIVV Technologies Private Limited operates HireAivv, a recruitment platform. This policy explains how personal data is handled when you visit our website, ask about our services, use the platform, or take part in a hiring process managed through HireAivv.
Employers and recruitment agencies using HireAivv also have their own privacy responsibilities. Their notices may provide additional details about a particular hiring process.
2.Our role in processing data
We decide how to use information about our own website visitors, prospective customers, and account contacts. For candidate records processed on behalf of an employer or recruitment agency, that customer ordinarily decides the hiring purposes and instructs us on the processing.
If your question concerns a job application, first contact the employer or agency handling that role. If you do not know who that is, you can write to us using the address in the Contact section, and we will help direct the request.

Please do not include sensitive personal information in a CV or message unless it is necessary for the relevant hiring process. Information voluntarily included in uploaded documents may nevertheless be processed as part of that document.
4.Why we use information
- To operate accounts and provide recruitment, screening, scheduling, assessment, and reporting features requested by our customers.
- To send interview and application-related communications, including approved WhatsApp message templates when a candidate has agreed to receive them.
- To respond to enquiries, provide support, maintain security, investigate errors, and meet applicable legal obligations.
- To improve service reliability and understand how the website and platform are used.
Where a legal basis is required, the basis depends on the activity and applicable law. It may include your consent, steps requested before a contract, performance of a contract, compliance with law, or legitimate interests where that basis is available. Candidate data handled for a customer is processed according to that customer's instructions and the applicable agreement.
5.WhatsApp communications
When a customer uses HireAivv to contact a candidate on WhatsApp, we use the Meta WhatsApp Business Platform (Cloud API). Meta processes the recipient's phone number, message content, replies, and delivery events to provide the service. We may keep related consent, message, and status records so the hiring team can coordinate and audit its communications.
HireAivv requires a recorded opt-in before initiating WhatsApp candidate outreach. A recipient can ask the hiring team to stop WhatsApp messages or reply STOP; the platform records an opt-out for further automated sends. Service providers may still retain data under their own applicable terms and policies.
6.AI-assisted recruitment features
HireAivv can use AI to extract information from CVs, compare candidates with role requirements, generate screening questions, and summarise assessments or interviews. These outputs may be incomplete or incorrect. Customers should review them with the underlying candidate information before making a hiring decision.
8.Where data may be processed
Our service providers may process information in India and other countries where they operate. The protections and transfer arrangements that apply depend on the service, the customer agreement, and applicable law. Customers with specific residency requirements should contact us before using the relevant feature.
9.How long information is kept
Candidate and hiring records are kept according to the customer's instructions, the applicable agreement, and the needs of the hiring process. Account, enquiry, communication, and security records are kept for as long as needed to provide the service, respond to requests, resolve issues, or meet legal obligations. Backups and provider-held data may follow separate deletion cycles.
If you want a specific record removed, use the request process below. We will assess the request, including whether we must involve the customer that controls the candidate record or retain any information by law.
10.Security
We use access controls, encrypted connections, authentication, and operational monitoring to protect information. No online service can guarantee absolute security. We review and update safeguards as the service changes.
11.Access, correction, and deletion requests
Depending on where you live and the circumstances, you may be able to request access to, correction of, or deletion of your personal data, withdraw consent, object to certain processing, or raise a complaint with the relevant authority. To make a request about HireAivv's own records, write to the business address below. Include your name, a way for us to reply, and enough detail to identify the record. Do not send identity documents unless we ask for them securely.
For a candidate record controlled by an employer or agency, contact that organisation first. If you write to us, we may need to forward or coordinate your request with that organisation. We may verify your identity and explain any legal or operational limits on deletion.
13.Children
HireAivv is intended for professional recruitment, not for use by children. If you believe a child's information has been included in the service, contact us so we can investigate with the relevant customer.
14.Changes to this policy
We may update this policy when the service or our data practices change. The date shown at the top of the page identifies the latest published version.
